Cognition AI Executive Summit Terms & Conditions
These Cognition AI Executive Summit Terms & Conditions (the “Terms & Conditions”) apply to all employees, officers, directors, contractors, consultants, vendors, speakers, guests, and other invited participants who attend or participate in the Cognition AI Executive Summit (the “Executive Summit”), whether in person or virtually.
By attending or participating in the Executive Summit, each attendee agrees to comply with these Terms & Conditions and all applicable policies of Cognition AI, Inc. (“Cognition AI”), including any applicable code of conduct, anti-harassment policy, confidentiality obligations, information security policies, travel policies, expense policies, and other workplace or event-related policies.
1. Event Participation
Attendance at the Executive Summit is by invitation only unless otherwise approved by Cognition AI. Attendees may not transfer their invitation, share credentials, or permit another individual to attend in their place without prior approval from Cognition AI.
Cognition AI reserves the right to determine eligibility for attendance and may deny, revoke, suspend, or limit access to the Executive Summit or any related session, activity, venue, platform, or event at any time.
Attendees must comply with all event rules, venue rules, safety requirements, security procedures, instructions from authorized Cognition AI personnel, and other policies or procedures communicated before or during the Executive Summit.
2. Attendee Conduct and Enforcement
All attendees are expected to conduct themselves professionally and respectfully throughout the Executive Summit, including during all meetings, sessions, meals, receptions, travel-related activities, social events, virtual programming, and other summit-related activities.
Prohibited conduct includes, without limitation:
- harassment, discrimination, intimidation, threats, bullying, abusive conduct, or personal attacks;
- demeaning, discriminatory, defamatory, or inflammatory statements;
- disruptive, unsafe, careless, or unlawful behavior;
- inappropriate or unwelcome physical contact;
- misuse of alcohol or other substances;
- unauthorized recording, photography, livestreaming, transcription, screenshotting, or distribution of event content;
- unauthorized access to restricted areas, systems, materials, platforms, sessions, or information;
- disclosure or misuse of confidential or non-public information;
- spam, unauthorized solicitation, or unauthorized promotional activity;
- conduct that interferes with another attendee’s participation in the Executive Summit; and
- any conduct that Cognition AI determines is inconsistent with the purpose, safety, confidentiality, integrity, or professional environment of the Executive Summit.
Anyone asked to stop unacceptable conduct is expected to comply immediately.
Cognition AI may remove any attendee from the Executive Summit, deny access to future sessions or activities, notify the attendee’s employer or sponsoring organization, suspend access credentials, or take other appropriate action if the attendee violates these Terms & Conditions or otherwise engages in conduct that Cognition AI determines to be inappropriate, unsafe, disruptive, unlawful, or inconsistent with company policies.
For employees and contractors of Cognition AI, violations may also be addressed under applicable company policies, agreements, and disciplinary processes.
3. Confidentiality; No Recording or Unauthorized Distribution
The Executive Summit may include discussion of confidential, proprietary, sensitive, or non-public information, including information relating to Cognition AI’s business strategy, products, services, technology, customers, partners, financial performance, operations, personnel, roadmap, transactions, security practices, or other business matters.
Attendees must maintain the confidentiality of all confidential or non-public information disclosed or made available in connection with the Executive Summit and may not use or disclose such information except as authorized by Cognition AI and consistent with any existing confidentiality obligations owed to Cognition AI.
Unless expressly authorized by Cognition AI in writing, attendees may not copy, photograph, record, livestream, screenshot, download, publish, post, transcribe, summarize externally, transmit, or otherwise distribute summit materials, presentations, discussions, slides, recordings, notes, transcripts, or other content shared during the Executive Summit. This restriction applies to audio recordings, video recordings, photographs, screenshots, AI-assisted transcription tools, meeting bots, note-taking bots, livestreams, summaries generated through automated tools, and any similar technology or process.
Cognition AI may authorize certain official recordings, photography, transcriptions, or summaries for internal business, archival, training, communications, security, compliance, or promotional purposes.
Nothing in these Terms & Conditions limits any rights an employee may have under applicable law, including rights to discuss terms and conditions of employment or engage in legally protected activity.
4. Photography, Video, and Likeness
Cognition AI and its authorized vendors may photograph, film, record, or otherwise capture images, video, audio, or other recordings during the Executive Summit.
By attending the Executive Summit, attendees acknowledge that they may appear in photographs, video recordings, audio recordings, livestreams, or other event-related media. Cognition AI may use, reproduce, display, publish, edit, distribute, and otherwise use such event-related media for internal communications, company archives, training, recruiting, culture materials, marketing, social media, public relations, and other legitimate business purposes.
Attendees who do not wish to be featured in close-up photography, video, or promotional materials should notify summit@cognition.ai before or during the Executive Summit. Cognition AI will make reasonable efforts to accommodate such requests, but attendees understand that they may still appear incidentally in general crowd shots, background images, livestreams, or recordings of group activities.
Attendees may not take or publish photographs, videos, recordings, screenshots, or other media of other attendees in a manner that is harassing, intrusive, misleading, confidential, commercial, or inconsistent with these Terms & Conditions or Cognition AI policies.
5. Event Materials and Intellectual Property
All summit materials, presentations, slides, recordings, documents, designs, logos, trademarks, content, and other materials provided or made available by Cognition AI, its affiliates, speakers, or vendors are owned by Cognition AI, its affiliates, its licensors, or the applicable content owner.
Attendees may use summit materials solely for authorized internal business purposes and may not reproduce, distribute, publish, modify, create derivative works from, commercialize, or otherwise use such materials except as expressly permitted by Cognition AI.
No rights or licenses are granted except as expressly stated in these Terms & Conditions.
6. Health, Safety, Security, and Venue Rules
Attendees must comply with all health, safety, security, venue, and emergency procedures communicated by Cognition AI, the event venue, or other authorized personnel.
Cognition AI reserves the right to take security measures it determines appropriate, including credential checks, access restrictions, bag checks, property removal, session capacity limits, and other measures designed to protect attendees, personnel, property, confidential information, and event operations.
If badges, credentials, passes, or access links are issued, attendees must use them only for their own attendance and may not share, transfer, copy, or misuse them. In-person attendees may be required to wear or display credentials while onsite.
Attendees may not bring firearms, weapons, explosives, hazardous materials, illegal substances, or other dangerous items to any Executive Summit venue or activity. Unattended property may be inspected, moved, or removed.
Attendees are responsible for exercising reasonable care for their own safety and the safety of others. Attendees should promptly report any safety, security, harassment, discrimination, confidentiality, privacy, or conduct concern to summit@cognition.ai.
7. Schedule Changes; Event Modification or Cancellation
Any agenda, schedule, speaker list, session description, venue information, or other event information provided by Cognition AI is subject to change.
Cognition AI may modify the Executive Summit agenda, speakers, sessions, location, format, timing, capacity, or other event details at any time. Attendance at the Executive Summit does not guarantee access to any particular session, speaker, activity, or portion of the event.
Cognition AI may postpone, cancel, relocate, shorten, or otherwise modify the Executive Summit due to business needs, venue issues, safety concerns, travel disruptions, weather, public health matters, acts of God, labor disruptions, governmental action, security concerns, technology failures, vendor issues, or other circumstances.
To the fullest extent permitted by applicable law, Cognition AI is not responsible for personal expenses, lost or damaged personal property, or indirect or consequential damages arising from schedule changes, cancellation, relocation, access restrictions, or attendee removal. Nothing in these Terms & Conditions limits rights that cannot be waived under applicable law.
8. Travel, Lodging, and Expenses
Attendees are responsible for complying with all applicable Cognition AI travel, lodging, reimbursement, expense, and approval policies.
Unless otherwise expressly approved by Cognition AI, attendees are responsible for any unauthorized, personal, incidental, excessive, or non-reimbursable expenses incurred in connection with the Executive Summit.
Cognition AI is not responsible for personal travel, lodging, transportation, meal, incidental, or other expenses except to the extent expressly approved under applicable company policy or written event instructions.
9. Privacy and Accessibility
Cognition AI may collect, use, and process attendee information in connection with planning, administering, securing, documenting, and communicating about the Executive Summit. Such information may include registration details, contact information, dietary or accessibility requests, travel information, attendance records, photographs, video, audio, credentials, and related event information.
Cognition AI will handle personal information in accordance with applicable law and its applicable privacy policies or notices.
Attendees should not provide sensitive personal information unless necessary for event administration, accessibility, dietary, safety, travel, or similar purposes.
Cognition AI will make reasonable efforts to support accessibility and accommodation requests related to the Executive Summit. Attendees seeking an accommodation should contact summit@cognition.ai as early as practicable.
10. Relationship to Other Policies; Questions and Reporting
These Terms & Conditions supplement, and do not replace, any confidentiality agreement, employment agreement, contractor agreement, handbook, code of conduct, information security policy, privacy policy, travel policy, expense policy, or other agreement or policy applicable to an attendee.
If there is a conflict between these Terms & Conditions and another applicable agreement or policy, Cognition AI may determine which provision governs based on the context, except where applicable law provides otherwise.

Concerns regarding harassment, discrimination, safety, security, confidentiality, privacy, or other misconduct should be reported promptly to hr@cognition.ai.
